We are searching for someone to fill the full-time position of Director of Operations/ Listing & Transaction Coordinator. The Lane Team at Keller Williams Bluegrass is a family-owned and operated team under the Keller Williams Bluegrass Brokerage. Our team consists of Kitty Lane, Meredith Lane, Blake Ferguson, Brandon Hedinger, Diane Scott, and Hannah Lane.
This position will serve as an integral part of our team, from the initial phases of the listing process, down to the closings and beyond. This role is responsible for the day-to-day implementation of initiatives and checklists, contributing to both the growth and optimization of existing routines for multiple agents and our team. The Director of Operations will oversee all real estate transactions on behalf of our organization; in charge of organizing all matters related to The Lane Team’s real estate activities, as well as provide support to the agents and ensure that transactions are performed and executed according to contract agreements.
The ideal candidate doesn’t require a background or prior knowledge about Real Estate. However, the position does require keen attention to detail, a high level of organization and excellent time management skills. Strong communication skills (both verbal and written) are integral in this position. The ability to work independently to execute individual tasks while collaborating closely with the team on multiple initiatives is crucial to success in this role. A candidate must be dependable with the ability to follow through on all tasks and be committed to completing tasks on time and as assigned. Positive attitude, drive, self-motivated, self-starter, effective/efficient work ethic, team-oriented, and adaptability are key characteristics of our ideal job candidate.
Oversee all aspects of sellers transactions from initial contact to the executed purchase agreement
Oversee all aspects of buyer and seller transactions from executed purchase agreement to closing
Input listings, organize and file all listing information both digitally and physically (paper copies)
Keep track of all necessary signatures on listing/pending and closing documents
Coordinate with agents on listings, open houses, and events
Work alongside Marketing Director to execute necessary tasks and materials
Organize all contacts, E-Lists and Mailing lists
Input all listing information onto the Multiple Listing Service and other platforms, and update as needed
Abide by Listing/Under Contract/Post Listing checklists
Submit all necessary documentation to office broker for file compliance
Input all necessary information into client database and transaction management systems
Coordinate title/escrow, mortgage loan, and appraisal processes
Regularly update and maintain communication with clients, agents, title officers, lenders, etc.
Schedule and Coordinate closing processes
Obtain required forms for closings from title companies
Preferred bachelor’s degree in business administration, communication, accounting or business (or extensive experience within administration field)
Associates’ degrees will also be considered
Available to work full-time
Distinguished communication skills both written and verbal
Some level of proficiency in Google Suite (Google sheets, Google docs, Google drive)
Ability to work self-directed, under pressure, meet deadlines, manage multiple projects simultaneously
Time management, organization, and attention to detail
Dependable attendance and punctuality
